The Role

As Estimating Administrator you will be based in our head office in Ruthin assisting the Estimating department ensuring all tenders are updated as they progress through the tender stage and will directly report to the Estimators. The successful candidate will work closely alongside the Estimators, responsible for ensuring document control, reporting and administrative tasks are completed accurately and on time.

The role’s responsibilities will include:

  • Copy, scan and store documents in the Document Management System.
  • Check for accuracy and edit files.
  • Review and update technical documents (e.g. manuals and workflows).
  • Distribute project-related documents to internal teams.
  • File documents in physical and digital records.
  • Create templates for future use.
  • Retrieve files as requested by employees and clients.
  • Manage the flow of documentation within the organisation.
  • Maintain confidentiality around sensitive information and terms of agreement.
  • Prepare ad-hoc reports on projects as needed.
  • Ensure that the Estimating team are complying with their document management.
  • Add and maintain enquiry information including key dates, values, key contacts, tender status.
  • Ensuring the company’s tender list and programme is constantly updated.
  • Converting specific documentation onto the estimating software to enable estimators to provide tender price.
  • Sending out material enquiries to companies regarding different tenders.
  • Assisting the Estimators with any other tender-associated tasks.

The role is for permanent employment.

Pre-requisite requirements and capabilities

To be considered for this Estimating Administrator role the following attributes and experience are required;

  • Good written and verbal communication skills.
  • Able to communicate clearly with varying groups of people and adjust your style accordingly.
  • Team player.
  • Familiarity with Microsoft Office and Excel.
  • The ability to produce accurate work with attention to detail.
  • Flexibility to meet deadlines when required.
  • Previous experience as an office administrator, office assistant or relevant role would be beneficial.
  • Good interpersonal abilities.
  • Excellent organisational skills.
  • Familiarity with construction projects and document management systems preferable, but not essential.
